Most freelancers use several different web apps to manage their business. Maybe Basecamp for project management, FreshBooks for invoices, and HighRise for client relationships.



The idea behind the Invo theme is to consolidate these functions in a single platform, streamlining your workflow and saving precious time. Because freelancers know better than anyone else that time is money.

Getting Started


Don’t use this theme on a WordPress site that’s already full of content. Invo is a standalone business platform, so it’s best to create a fresh WordPress install and start from scratch.

Once Invo is installed and activated, you’ll find four new panels in your left-hand dashboard menu. This is where you manage the various aspects of your freelance business.



Before you add new projects to your site, you’ll need to configure some basic settings. Open Invo › Theme Settings. From here you can:

  • - Tweak the design of your site, adding a business logo, favicon, tagline, etc.
  • - Add your business contact details.
  • - Create your email template, which will be sent to clients when you invoice them.
  • - Configure your payment settings. Invo currently supports PayPal and 2Checkout.


Adding New Client Profiles


You’ll need to create a WordPress user profile for each of your clients, so you can assign projects and invoices to specific people.

In the WordPress dashboard, open Users › Add New. Create a username and password for your client, and make sure you include a valid email address. It’s also a good idea to select “Send this password to the new user by email”.

Make sure you change the user role to Client, then click Add New User. Your client can now log in from the front end of your site to view their projects and invoices.

Managing Your Projects


Adding new projects to your site is as simple as creating a WordPress post. In your dashboard, open Projects › Add New.

For each project, you can select a featured image, and add whatever textual content you like. This information will only be visible to the client when they log into your site.

Make sure you assign your project to the relevant client, in the top right-hand corner of your dashboard. When everything looks good, hit Publish, and the project becomes live on your site. You can create as many projects as you like.

Communicating With The Client


The Invo theme helps you keep track of client communications on a project-by-project basis, using the WordPress comment system. When the client logs in and views their project, they can leave a message, which you can respond to from the WordPress dashboard.



Freelancer Business Tip


Keep a written record of all communication with your client; never rely on verbal agreements. If a dispute arises, it’s important to know exactly who said what. If the client gives you a project brief over the phone, ask them to send a follow-up email detailing exactly what they are asking for.

Managing Your Invoices


When it’s time to get paid, you can create and send invoices from your WordPress dashboard. Open Invo › Invoices and select Add New.

The user interface is easy to navigate; just fill out the required invoice fields and click Save. Open the View All panel, and you’ll see a list of your saved invoices.

To notify your client that payment is due, locate the relevant invoice in this list and click Send via E-mail. The status of your invoice now changes to ‘Pending payment’, and will automatically change to ‘Paid’ once funds have been received.

Freelancer Business Tip


When working on larger projects, consider breaking up the payment into a series of milestones, rather than waiting (and hoping) to collect a lump sum at the end. This protects you financially, and keeps the client more closely engaged with the project.

Make sure both parties are in agreement about what will be delivered at each milestone, and what percentage of the project fee is due each time.

Displaying Your Portfolio and Testimonials


The Invo theme lets you easily display your best work for prospective clients.

Adding a new item to your portfolio is the same as creating a new project. Open Portfolio › Add New, add whatever content you like, and click Publish. Remember to include a feature image.

If you’ve received a good testimonial from a client, you can publish this on your site too. Open Testimonials › Add New and fill out all fields. Make sure you list the Author, Company and Position, below the main text editor.

By default, the Invo theme displays your latest portfolio items and testimonials on the front page of your site.



Freelancer Business Tip


Always ask the client’s permission before displaying their project in your portfolio. It’s rarely a problem, but some clients may have privacy issues or a non-disclosure policy that you need to be aware of. Same goes for testimonials: If you ask the client for a review at the end of the project, make sure they understand where it will be published.

CAPTCHA is a magic word!

CAPTCHA (Completely Automated Public Turing Test To Tell Computers and Humans Apart) is a type of challenge-response test used in computing as an attempt to ensure that the response is generated by a person.

The process usually involves a computer asking a user to complete a simple test which the computer is able to grade. These tests are designed to be easy for a computer to generate, but difficult for a computer to solve, so that if a correct solution is received, it can be presumed to have been entered by a human.

A common type of CAPTCHA requires the user to type letters or digits from a distorted image that appears on the screen, and such tests are commonly used to prevent unwanted internet bots from accessing websites or accessing to some specific function on a website like posting comments, login, registering etc.

Another type of CAPTCHA may require the user to solve basic mathematical operations (add, subtract, multiply).
